Medical Transcriptionist Job Profile and Description

A Medical Transcriptionist’s job is to transcribe medical dictations using dictation and word processing system functions as needed. These medical dictations include patient medical histories, patient assessment, consultations, discharge summaries, diagnosis, prognosis, therapeutic procedures, operating room reports, and progress notes. Some health care professionals may dictate information related to medical test reports, administrative correspondence and communication to other medical providers.

Duties and Responsibilities

  • Applying knowledge of physiology, anatomy, and medical terminology, and rules of English language to the transcription of dictation from creators with various dialects, accents and dictation styles.
  • Recognizing, interpreting, and evaluating discrepancies, inaccuracies and inconsistencies in medical dictation.
  • Preparing reports and varied documents using word processing software and personal computer from dictated information.
  • Editing, revising, and clarifying the inaccuracies without altering the actual meaning of the medical dictation or the style of dictator.
  • Ensuring the documentation contains all essential clinic or patient information.
  • Seeking assistance to clarify the medical dictation, which is incomplete or unclear.
  • Marking flags to the reports, which require the attention of dictator or supervisor.
  • Checking reports for correct punctuation and grammar and correcting errors, if any.
  • Utilizing reference materials efficiently and appropriately to facilitate the accuracy of reports.
  • Meeting quality and production standards and deadlines.
  • Recognizing and reporting unusual circumstances or information with potential risk factors to risk management department.
  • Translating spoken medical words and expanding the abbreviations into correct forms.
  • Following the established guidelines to format specific documents.
  • Negotiating contracts and handling the financial aspects and other business related operating aspects.
  • Submitting the outgoing correspondence for signature to the suitable personnel.
  • Making corrections and redistributing documents if necessary.
  • Organizing and prioritizing assigned work, scheduling time to adapt to work demands, commitments and turnaround time requirements.
  • Recognizing and reporting problems, discrepancies, and errors in dictation to appropriate manager.
  • Utilizing designated equipment skillfully, effectively, and efficiently.
  • Participating in programs like quality assurance programs, in-service, and education.
  • Reviewing developments and trends regarding medicine, technology, transcription practices, and English usage.
  • Working and communicating in a cooperative and positive manner with supervisory staff, management, medical staff, and co-workers.

Skills and Specifications

  • Knowledge of medical transcription practices and guidelines.
  • Excellent written skills including grammar, style, punctuation and English usage.
  • Excellent listening and verbal skills.
  • Ability to work with time constraints.
  • Able to use intended reference materials.

Education and Qualifications

  • Degree from an accredited institution.
  • Pursuing degree level education.
  • Knowledge of anatomy and physiology, surgery, medical terminology, clinical medicine, diagnostic tests, pathology, radiology, pharmacology and different medical specialties.
